Overview
OT Bestie, LLC ("OT Bestie," "we," "us," or "our") operates educational exam-prep services, tutoring support, rewards, institution access tools, websites, and related technologies (the "Service"). We are responsible for personal information we collect and use as described in this Policy, except where we process information on behalf of an institution or other customer under a separate written agreement.
This Policy is designed to give clear notice about our data practices. Some rights and disclosures vary depending on where you live, how you interact with us, and whether a law applies to OT Bestie.
Scope
This Policy applies to personal information we collect through otbestie.com, our dashboards, public pages, registration flows, subscriptions, tutoring, rewards, customer support, institution features, emails, advertising, analytics, and related online or offline interactions that link to this Policy.
This Policy does not apply to third-party websites or services that we do not control. It also does not replace separate written agreements with institutions, payment processors, app stores, or other third parties.
OT Bestie is generally not a HIPAA covered entity or business associate solely by providing exam-prep and tutoring services. If a separate signed agreement says otherwise for a specific relationship, that agreement controls for that relationship.
Information We Collect
The categories below describe information we may collect. We may not collect every category from every user.

Sources of Information
- You. We collect information you provide when you register, study, subscribe, contact us, schedule tutoring, redeem rewards, submit forms, or use Service features.
- Your device and activity. We collect usage, log, cookie, and similar data automatically when you use the Service.
- Institutions and organizations. Schools, programs, faculty, administrators, or cohort sponsors may provide names, emails, access codes, cohort lists, eligibility, or related information.
- Service providers. Payment processors, email platforms, analytics providers, advertising platforms, hosting providers, video platforms, shipping providers, support tools, and AI providers may provide information needed to operate the Service.
- Public and third-party sources. We may receive information from publicly available sources, referrals, social platforms, advertising partners, or data partners where permitted by law.
How We Use Information
We use personal information for the following purposes:
- Provide, operate, maintain, personalize, and improve the Service.
- Create and manage accounts, subscriptions, trials, tutoring credits, rewards, and institution access.
- Generate study plans, progress reports, analytics, pacing feedback, recommendations, and educational outputs.
- Schedule, deliver, document, and support tutoring sessions and customer-service interactions.
- Process payments, refunds, credits, discounts, fraud checks, tax records, chargebacks, and purchase confirmations.
- Fulfill rewards, gift cards, gift boxes, shipping, delivery, and related support.
- Communicate with you about accounts, security, support, tutoring, billing, policy updates, product changes, and marketing where permitted.
- Run advertising, attribution, analytics, campaign measurement, and audience optimization.
- Protect the Service, detect and prevent fraud, abuse, unauthorized access, scraping, account sharing, and security incidents.
- Debug, test, research, train support workflows, improve educational content, and develop new features.
- Create aggregated, de-identified, or anonymized information for analytics, product improvement, research, reporting, and business purposes.
- Comply with laws, enforce our Terms, resolve disputes, and protect rights, safety, and property.
How We Disclose Information
We may disclose personal information to the categories of recipients below.

Advertising, Analytics, Cookies, and Similar Technologies
We and our partners may use cookies, pixels, tags, SDKs, local storage, server-side event tools, and similar technologies to operate the Service, remember preferences, keep you logged in, prevent fraud, analyze performance, measure campaigns, and advertise OT Bestie.
These technologies may collect device identifiers, IP address, browser data, pages viewed, links clicked, referral information, campaign identifiers, purchase or signup events, and similar online activity. We may use partners such as analytics providers, advertising platforms, and conversion measurement providers.
We do not sell personal information for money. Some privacy laws may consider certain disclosures to advertising or analytics partners to be a "sale," "sharing," or use for "targeted advertising." You may opt out of these activities by contacting us at contact@otbestie.com with the subject line "Privacy Opt-Out." Where legally required and technically feasible, we will also honor recognized browser-based opt-out preference signals, such as Global Privacy Control, as an opt-out for the browser that sends the signal.
You can also limit cookies through your browser settings. Blocking cookies may affect Service functionality, including login, payments, study progress, or personalization.
AI-Assisted Features and Tutoring Data
Some features may use AI or automated systems to generate explanations, study suggestions, practice support, summaries, tutoring intake workflows, chat responses, or other outputs. Information you submit to those features may be processed by OT Bestie and our service providers to provide, secure, troubleshoot, evaluate, and improve the Service.
Do not submit sensitive personal information, protected health information, confidential institution records, or third-party private information into AI-assisted features unless you are authorized and the submission is necessary for your use of the Service.
Tutoring information may include intake responses, goals, practice data, messages, scheduling details, tutor notes, session status, and related support records. We use this information to deliver tutoring, support users, maintain safety and quality, process payments or credits, and improve tutoring workflows.
Institution, Cohort, and Student Data
If you access OT Bestie through a school, program, employer, or other institution, we may receive information from that institution and disclose information back to it as needed to provide cohort access, progress reports, support, analytics, billing, launch support, and administrative tools.
Institution reports may include account status, activation, usage, practice progress, scores, performance trends, study activity, tutoring participation, support needs, and similar information. The institution is responsible for ensuring that its collection, disclosure, and use of student or user information complies with applicable laws, including FERPA or similar student-record laws where applicable.
If we process information on behalf of an institution under a written agreement, we process that information according to the agreement and applicable law.
Health, Disability, and Sensitive Information
OT Bestie is an educational exam-prep service. We do not provide medical care, therapy, diagnosis, treatment, or emergency services, and we do not request health information for those purposes.
You may voluntarily provide information about stress, anxiety, disability, accommodations, health, or other sensitive topics in messages, tutoring intake, support requests, notes, or AI prompts. We use sensitive information only as reasonably needed to provide the Service you requested, support safety and accessibility, comply with law, enforce our terms, protect rights, or with your consent where required.
We do not sell consumer health data. We do not use sensitive personal information to infer characteristics for purposes outside the requested Service, except as permitted by law. If a state consumer health privacy law applies to particular information, we will honor applicable rights and consent requirements.
Data Retention
We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including to provide the Service, maintain accounts, preserve study progress, process payments, support tutoring and rewards, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud, maintain security, and improve the Service.
Retention periods vary by category. For example, account and study-progress records may be retained while your account is active and for a reasonable period afterward; payment and tax records may be retained as required by law; security logs may be retained for fraud prevention and incident response; and de-identified or aggregated data may be retained without identifying you.
When information is no longer needed, we will delete, de-identify, aggregate, or otherwise handle it according to our retention practices and legal obligations.
Data Security
We use administrative, technical, and physical safeguards designed to protect personal information, taking into account the nature of the information and the risks involved. Measures may include access controls, authentication, encryption or transport security where appropriate, monitoring, vendor review, backups, and incident response practices.
No system is completely secure. We cannot guarantee that personal information will never be accessed, used, disclosed, altered, or destroyed without authorization. You are responsible for using a strong password, keeping credentials confidential, and promptly telling us about suspected account compromise.
Privacy Rights and Choices
Depending on your location and applicable law, you may have rights to:
- Know or confirm whether we process personal information about you.
- Access or receive a copy of personal information.
- Correct inaccurate personal information.
- Delete personal information.
- Opt out of sale, sharing, targeted advertising, or certain profiling.
- Limit certain uses or disclosures of sensitive personal information.
- Withdraw consent where processing is based on consent.
- Appeal a denied privacy request where applicable law provides an appeal right.
- Not be discriminated against for exercising privacy rights.
To exercise rights, email contact@otbestie.com. Please include your name, account email, the right you want to exercise, and enough information for us to verify and process the request. We may ask for additional information to verify your identity or authority. Authorized agents may submit requests where permitted by law, but we may require proof of authorization and verification of the consumer's identity.
Some requests may be limited by law, security, fraud prevention, account integrity, free-speech rights, legal claims, contract obligations, or our need to provide the Service you requested.
Marketing choices
You may unsubscribe from marketing emails by using the unsubscribe link in those emails or by contacting us. You may opt out of marketing texts by replying STOP. We may still send transactional or service messages.
U.S. State Privacy Notices
Certain state privacy laws, including laws in California, Colorado, Connecticut, Texas, Virginia, and other states, may provide additional rights depending on whether the law applies to OT Bestie and to your interaction with us.

In the preceding 12 months, we may have collected the categories listed in the "Information We Collect" section, used them for the purposes listed in "How We Use Information," and disclosed them to the recipient categories listed in "How We Disclose Information." We retain information as described in "Data Retention."
We do not knowingly sell or share personal information of consumers under 16. We do not use sensitive personal information for purposes that require a right to limit under California law unless we provide the required notice and choice.
Sale, sharing, and targeted advertising
We do not sell personal information for money. We may disclose identifiers, internet activity, device data, and commercial information to advertising and analytics partners in ways that may be considered a sale, sharing, or targeted advertising under some laws. You may opt out by emailing contact@otbestie.com with the subject line "Privacy Opt-Out."
Appeals
If we deny a privacy request and your state law provides an appeal right, you may appeal by replying to our decision email or contacting us with the subject line "Privacy Appeal."
Children and Minors
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 provided personal information to us, contact us and we will take appropriate steps to delete it.
The Service is intended for users who are at least 18 years old. If you are under 18, do not use the Service unless we expressly authorize your use in writing and all required consents are in place.
International Data Transfers
OT Bestie is based in the United States. We and our service providers may process personal information in the United States and other countries, which may have privacy laws different from those in your location. Where required, we use appropriate safeguards for cross-border transfers.
Changes to This Policy
We may update this Policy from time to time. The "Last updated" date shows when this Policy was last revised. If we make material changes, we may provide additional notice through the Service, email, or other reasonable means.
